Steps 5–6: Onboarding and Performance Review

Steps 5–6: Onboarding and Performance Review

Step 5: Onboarding — Tools, Access, and Expectations

A thorough onboarding prevents 90% of early co-host issues. Don't assume — document everything.

Platform Access

  • Add co-host to your BookKaaro account (follow BookKaaro's co-host invitation process)
  • Add co-host to Airbnb as co-host on your listing
  • Share calendar view (not editing rights initially)
  • Provide read-only access to financial dashboard

Property Access

  • Provide spare keys or lockbox code
  • Share building access codes, guard's contact number, building management contact
  • Walk through the property together: show every appliance, quirk, and area guest concern
  • Introduce them to your cleaning team and maintenance contact

Documentation Package to Provide

  • Property manual with every appliance's instructions
  • Local area guide for guests
  • Your preferred guest communication tone and language style
  • House rules (as approved by you)
  • Your preferred response templates (can adapt them to their voice)
  • Expense tracking template
  • Emergency escalation procedure (what to call you about, what to handle independently)

Step 6: Performance Review and Revenue Reconciliation

Monthly revenue reconciliation: On the 5th of every month, your co-host should provide:

  • Gross bookings total for the month
  • Platform fees deducted
  • Cleaning expenses (with receipts)
  • Maintenance expenses (with receipts and photos)
  • Consumable replenishment
  • Net amount to owner + co-host commission
  • Bank transfer confirmation for your portion

Quarterly performance review:

  • Average occupancy rate (benchmark against local market)
  • Average nightly rate vs. comparable listings
  • Average review score and trend
  • Response rate and response time
  • Issues escalated and how they were resolved
  • Goals and adjustments for next quarter
🤝 Relationship Principle: Your co-host is your operational partner, not an employee. Treat them as a professional — pay on time, respect their expertise, communicate changes in advance, and show appreciation when performance is strong. Co-hosts who feel respected and trusted perform 30–40% better than those who don't.
